Contact records can be created automatically at registration, and then used to pre-populate registration forms when the administrator wishes to add a contact to a course. Document and contact identifiers are useful when needing to: Provide a link to submit more information or updated information, eg gathering USI data or additional information in a multi-step registration process. Reference a particular registration/booking for customer service or compliance requirements. When needing to identify documents - aka bookings enrolments or registrations, and contacts aka student clients customers, identifiers can be used for a variety of ways including identifying certificates, referencing invoices, validating achievements (certificates or statements of attainment) and gaining access to the student portal or other third party systems.

Wrong Documents linked to Contact

We had a question from a customer and it goes something like this: Jane Doe (the girl I spoke to you about yesterday), re-enrolled last night in the Diploma. Earlier yesterday, I cancelled her registration in the Certificate 3. She was asking me to check to see whether she had done the registration right and it seems that I’ve overwritten someone elses' record. If you do a contact search now on Jane Doe, you can see that 2 records come up but one of them is actually Tony Brett (you can tell by the email address).

Import Enrolment and Client Records

In CourseSales.com there is integrated support for importing enrolments (documents, and document topics) and clients (contacts) using spreadsheets. There is also support for importing configuration data (units of competency, etc) using other non-integrated software ie Selenium, a browser automation tool. When adopting a new Student Management System (SMS) the biggest uncertainty is migration of existing data. Search for a Customer

It is important that you can find customers (students/enrolments etc). As with many things in CourseSales.com you have more than one option! Search Documents using the filter You can search in the ‘Text’ filter field of the document list page, this is a field which looks at the whole record, so you can search street names and all other text fields like locality values etc: customer name, eg for Brad Pitt search ‘Brad’ or ‘Pitt’ - searching ‘Brad Pitt’ will not work.

How Contacts Work

Contacts are a record extracted from a document, usually a student. Contacts are created automatically when a process rule on a process step has the correct configuration. A contact is created either when a student’s details are finalised, access to a learning management system is required or the individual’s details need to be updated eg when new information is provided. Contact details are only created / updated when the Process Rule is executed that has the ‘create contact’ settings specified see the following process rule and notes: If a Process rule updates the document and there are no ‘Create contact’ settings on the process rule then there is no update of contact information

Troubleshooting Fields, Forms and Contacts

Use the following check list to analyze why some information in fields might be lost, contacts are not being created or forms are not working as expected: Check that you are using EXACTLY the same field if you want the data to carry through from one form to the next. The contact form receiving the data from the document form must NOT have any mandatory fields that are not also mandatory on the the document form, a sensible way to ensure this is not an issue is to make NO fields on the contact form mandatory

Setup Contacts

Contacts can be automatically created using a process rule to match the information on a registration form to a contact form. When a pre defined field, eg. email address, matches the same field on both a document form and a contact form the contact record can be automatically updated, or if there is no match a new contact record can be created.
