Where and which dates should be used for units and certificates?

By default the start and end dates on a course date are used when reporting AVETMISS data. These are then overridden by the Document Topic Form (it is not possible to put dates on the document) if there are valid dates on those forms. If these fields exist on the document topics form, the first valid date on each of these fields is used in the order document topic form then course date, eg if Activity Start Date on the Document Topic Form has a valid value it is used.

All short codes can be used in emails and PDFs to generate customised content. A limited set of these codes can be used in the payment pages of a payment method. Short codes use words to describe the field enclosed within square brackets eg [Venues:VenueDisplayLocationName]. Some of the short code names are obvious others are not to obvious or slight different to the expected name, due to field name changes or standardization (short codes lag behind any changes due to them being on static content).

Links, What they are and how they work

In CourseSales.com some records can be linked, for example People can be linked to a course master, so that emails come from or get sent to those people who have the specified role. PDFs can be linked to emails so that the PDF is attached to the email when it is sent to the recipient. Linking is a non-permanent way to relate one aspect of CourseSales.com to another. Links are infact the only think that you can ‘remove’ or ‘delete’ from CourseSales.

Generated PDF files using variable replacements must be attached to emails. However these PDF files can also be downloaded for immediate viewing, without the email being sent. Assuming that a PDF template is linked to an email do the following: While editing a document select the Process Step that includes the email with the PDF attached. Optionally choose as to whether you want to “send eMails”, then Apply or Save Click on the Workflow history button to get the Status (by Process Step) to have been applied to the document: Click the View Details button for the Status (Process Step) that includes the PDF, to view the Status Preview popup: Click on the Acrobat button to download the PDF file.

Include variables in emails and PDFs

Similar to a mail merge you can address emails and PDF files to those included on documents. Within email or PDF templates the variables appear within square brackets eg. [Documents:DocumentContent46] or [CourseDates:PriceCurrent] When editing an email you can access fields from two places, the HTML edit menus have the Field Picker and to the right there is a Fields button that opens a popup. The Field Picker allows selection of general topics and then specific fields, for one-off insertion.

Create an email by visiting Publish>Content>Add - then select ‘email’ as the content type. This will show two content fields, Subject and Body. Edit the content and include the necessary information as required To send the email template add this to a process rule - where you will specify which role to send the email to and which role to send it from. You may also wish to include images in the email, include files and attach a PDF to the email.

Tips to make awesome PDFs

You can use the HTML editor to create templates that can then be converted to PDF. Not all your best efforts immediately transfer to a masterpiece in PDF however. When designing PDF templates keep in mind that the conversation from HTML to PDF by the TC PDF generator needs basic HTML. You will need some basic HTML coding experience as you are unlikely to be able to create robust PDF templates without editing the HTML code directly.
